After you approve a candidate

3 min read · Jan 22, 2026
Quick Answer

After approval, we introduce you via email. You and the candidate can then schedule a call directly. Continue in your normal interview workflow from there.

The introduction

When you approve a candidate:

  1. Email introduction sent: Both parties receive an email connecting you
  2. Contact info shared: You get their email; they get yours
  3. Context included: A brief reminder of the role and their background
  4. Next step is yours: You take it from here

The introduction email goes out within minutes of approval.

What the introduction includes

To you

  • Candidate's name and email
  • Link to their profile
  • Reminder of your job title
  • Suggested next steps

To the candidate

  • Your name and email
  • Your company name
  • The job they applied to
  • Encouragement to respond

Both parties know the other has agreed to connect.

Your next steps

1. Respond quickly

Aim to reply within 24-48 hours:

  • Candidates are actively interested
  • Quick response shows professionalism
  • Momentum matters in hiring

2. Schedule a call

Suggest specific times:

  • "Are you available Tuesday at 2pm or Thursday at 10am?"
  • Use a scheduling tool (Calendly, etc.) if you prefer
  • Keep timezone differences in mind

3. Prepare for the conversation

Before your call:

  • Review their candidate brief again
  • Note their screening answers
  • Prepare role-specific questions
  • Know what you want to learn

4. Set expectations

In your first message or call:

  • What this conversation will cover
  • Your interview process overview
  • Timeline to decision
  • Next steps after this call

Making a great first impression

Be human

This is not a transaction. The candidate chose to engage with you specifically. Be personable and genuine.

Be prepared

Reference their background:

  • "I saw you mentioned X in your screening answer - tell me more."
  • "Your experience at Y Company sounds relevant."

Shows you have done your homework.

Be transparent

Answer their questions honestly:

  • Team size and structure
  • Challenges and growth areas
  • What success looks like
  • Compensation discussion (when appropriate)

Be efficient

Respect their time:

  • Have a clear agenda
  • Cover essentials first
  • Leave room for their questions
  • End with clear next steps

Tracking candidates

In your dashboard

After introduction, candidates appear in your Intros tab:

  • See all approved candidates
  • Track conversation status
  • Note outcomes and feedback

In your ATS

If connected, candidates sync to your ATS:

  • Profile created automatically
  • Associated with the right job
  • Status updates flow back

See How candidate sync works for ATS integration details.

If things go well

Continue your normal interview process:

  • Technical interviews
  • Team interviews
  • Reference checks
  • Offer stage

daily.dev Recruiter gets you the introduction. Your process handles the rest.

If things do not work out

If the candidate is not a fit after talking:

  • Let them know professionally
  • No need to notify us (unless there is an issue)
  • Provide feedback in your dashboard (optional)
  • Continue reviewing other candidates

Troubleshooting

Candidate not responding?

  • Wait 3-5 days before following up
  • Send one polite follow-up
  • If still no response after a week, move on
  • This is rare with double opt-in, but can happen

Introduction email not received?

  • Check spam/junk folders
  • Verify your email address is correct
  • Contact support if missing
