- Contact info shared: You get their email; they get yours
- Context included: A brief reminder of the role and their background
- Next step is yours: You take it from here
The introduction email goes out within minutes of approval.

Your next steps
1. Respond quickly
Aim to reply within 24-48 hours:
- Candidates are actively interested
- Quick response shows professionalism
- Momentum matters in hiring
2. Schedule a call
Suggest specific times:
- "Are you available Tuesday at 2pm or Thursday at 10am?"
- Use a scheduling tool (Calendly, etc.) if you prefer
- Keep timezone differences in mind
3. Prepare for the conversation
Before your call:
- Review their candidate brief again
- Note their screening answers
- Prepare role-specific questions
- Know what you want to learn
4. Set expectations
In your first message or call:
- What this conversation will cover
- Your interview process overview
- Timeline to decision
- Next steps after this call

This is not a transaction. The candidate chose to engage with you specifically. Be personable and genuine.
Be prepared
Reference their background:
- "I saw you mentioned X in your screening answer - tell me more."
- "Your experience at Y Company sounds relevant."

Answer their questions honestly:
- Team size and structure
- Challenges and growth areas
- What success looks like
- Compensation discussion (when appropriate)

Respect their time:
- Have a clear agenda
- Cover essentials first
- Leave room for their questions
- End with clear next steps

If things do not work out
If the candidate is not a fit after talking:
- Let them know professionally
- No need to notify us (unless there is an issue)
- Provide feedback in your dashboard (optional)
- Continue reviewing other candidates
Troubleshooting
Candidate not responding?
- Wait 3-5 days before following up
- Send one polite follow-up
- If still no response after a week, move on
- This is rare with double opt-in, but can happen

- Check spam/junk folders
- Verify your email address is correct
- Contact support if missing
